 We’re on the lookout for a proactive and dependable Facilities Admin Assistant to support a busy Facilities Management team in Central London. This is a full-time, fixed-term position for 12 months, with the potential to go permanent. If you’re highly organised, tech-savvy, and keen to build your experience within a professional and fast-paced environment—this could be the perfect opportunity.

The Facilities Admin Assistant will play a central role in managing day-to-day admin processes, supporting compliance tasks, and keeping essential records up to date. You’ll be working Monday to Friday, 8am to 5pm, as part of a supportive team handling essential facilities services across multiple sites.

Your Day-to-Day as a Facilities Admin Assistant
✔ Handle incoming helpdesk queries related to facilities, utilities and compliance
✔ Track and follow up on utility queries across the property portfolio
✔ Assist with Health & Safety documentation and scheduling checks
✔ Organise statutory inspections and insurance documentation
✔ Maintain and update essential records and O&M documentation
✔ Provide admin support for direct contracts and service providers
✔ Ensure accurate documentation and timely completion of reports
✔ Support general administrative tasks to ensure smooth day-to-day operations

What We’re Looking For
To succeed as a Facilities Admin Assistant, you’ll ideally bring:

✅ Previous admin experience, ideally within facilities, property or compliance
✅ Excellent organisational and time management skills
✅ Strong attention to detail and accuracy in handling reports and documentation
✅ Confidence using Microsoft Office and internal record-keeping systems
✅ A professional and proactive approach to managing queries and tasks
✅ Clear communication skills and the ability to work across teams
